Welcome Email
When someone joins your membership program, Flo can send a polished welcome email on your behalf. It confirms their access, shows their tier and benefit bullets, and includes a button to open their membership in the fan portal.
The welcome email is on by default for each program. You can turn it off, add a personal opening note, change the subject line, upload a header logo, preview the layout, and send yourself a test copy.

Creator plan requiredWhen Flo sends the welcome email
Flo sends the welcome email after access is granted, as long as Send welcome email is turned on for that program.
| How they joined | Welcome email |
|---|---|
| Free tier checkout (no payment) | Sent if enabled |
| Paid subscription (monthly or yearly) | Sent if enabled |
| One-time paid tier | Sent if enabled |
| Gift access (you grant access in the hub) | Sent if enabled — you will see Gift granted. Welcome email sent. |
| Add member (manual comp without gift record) | Sent if enabled — toast shows Member added. only; the email still goes out when the toggle is on |
| When it is not sent | Detail |
|---|---|
| Send welcome email is off | No welcome email for any join path above |
| Fan has no email on file | Flo cannot deliver mail |
Turn off for quiet comps
If you add someone manually and do not want them to get email, turn off Send welcome email in Settings → Emails (or Edit tiers → Delivery) before granting access, then turn it back on afterward if you like.
If you grant access again to someone who already had membership, Flo may send another welcome email when the toggle is on (for example after re-adding a comp).
What members receive
The email is sent from Flo (hello@myflo.link) with your program name and optional creator name in the footer. Members can reply to reach you in their inbox.
Layout (default template)
| Section | Content |
|---|---|
| Header | Your uploaded logo, or the default Flo mark if you leave logo empty |
| Label | NEW MEMBERSHIP |
| Headline | Welcome to your program name and their first name — uses their first name when Flo has it, otherwise there |
| Intro | Confirms their tier (for example You've got Gold access…) or general membership access |
| Member pass | Visual card with program name, tier pill, and ACTIVE status |
| What's included | Checklist of benefit bullets from the tier they joined (same bullets as Edit tiers → Offer → What's included) |
| Button | Open your membership → — opens their portal (paid joins often include a one-click sign-in link; free and manual grants use their portal membership page) |
| Caption under button | Bookmark this link — it's your private door in. |
| Footer | Sent on your behalf via Flo; note that they can reply with questions |
Subject line (defaults)
Leave the subject blank in settings to use Flo’s default:
| Situation | Default subject |
|---|---|
| They joined a named tier | You're in — plus tier name, access to, plus program name |
| No tier name on the join | You're in — welcome to plus program name |
Your custom subject replaces the default entirely when filled in (up to 200 characters).
Opening message (optional)
The Opening message field adds your personal note at the very top of the email body (up to 1,000 characters). Flo keeps the rest of the template — member pass, benefits, and button — below your note.
Use it for Discord invites, orientation steps, or a warm thank-you. For perks that need explanation beyond short bullets, see Member benefits.
Customize the welcome email
You can edit everything except the core template structure in two places. Use the hub for full control; use Studio for a quick on/off.
Membership Hub — full editor (recommended)
Open the hub
Dashboard → Memberships → your program → Open hub.
Open Settings
Click Settings (top bar or bottom of the left nav).
Emails
Choose Emails in the settings sidebar.
| Control | What it does |
|---|---|
| Send welcome email | Master on/off switch |
| Email header logo | Square image in the header; empty = default Flo mark |
| Subject line | Optional override (max 200 characters); blank = default subject |
| Opening message | Optional note prepended to the email (max 1,000 characters) |
| Live preview | Updates as you type — same template as real sends |
| Send test to (your account email) | Queues a sample to the email on your Flo account |
| Save | Toast Email settings saved. |
The preview uses your program name and portal link. It does not substitute a real member’s tier or benefits until someone actually joins — test send uses sample placeholder content for tier benefits.
Username required for test send
Flo needs your public username set on your account before Send test or preview portal links work. If you see an error, finish your profile username in account settings, then try again.
Membership Studio — toggle only
Dashboard → Memberships → Edit tiers → Delivery tab → Welcome email section.
| Control | What it does |
|---|---|
| Send welcome email | Same toggle as the hub — saves immediately when you flip it |
Studio shows a short static preview line (for example Welcome to your program! Here's what you get as a member.). For subject, opening message, logo, live HTML preview, and test send, use Hub → Settings → Emails.
How benefits appear in the email
Benefit bullets are pulled from the tier the member joined:
| Source | Shows in email as |
|---|---|
| Edit tiers → Offer → What's included | What's included checklist with ✓ marks |
| Order on the tier | Same order as in your tier editor |
| Tip | Detail |
|---|---|
| Keep bullets short | They render as a scannable list in mail clients |
| Update tiers before launch | New joins pick up the bullets saved on that tier at join time |
| One-time paid joins | The welcome email may list fewer tier details than subscription joins — still include clear bullets on the tier for your public join page |
Reinforce complex perks (private links, calendars, norms) in your opening message or a first community post.
Pairing with other member touchpoints
| Touchpoint | How it fits with the welcome email |
|---|---|
| Fan Hub portal branding | Welcome email drives them to the portal; Fan Hub controls how it looks after login |
| Referrals | Separate — referrals reward existing members; welcome email greets new joins |
| Gift access | Same email template when the toggle is on |
| Member benefits | Bullets in the email should match what you promise on your Flo page |
Checklist before launch
| Check | Why |
|---|---|
| Send welcome email is on (unless you intentionally want silence) | New paid and free joins get oriented |
| At least one benefit bullet per paid tier | What's included is not empty in the email |
| Opening message has any must-do steps (Discord, rules, first live date) | Template alone may not carry long instructions |
| Send test to yourself | Confirms subject, logo, and button link |
| Program is Active and your Flo page is published | Join flow and portal link match what you tested |
Troubleshooting
| Issue | What to check |
|---|---|
| Member says they did not get email | Send welcome email on? Correct email on their fan account? Ask them to check spam. Promotions tab for Gmail |
| You did not get a test email | Wait a minute and refresh inbox. Confirm account email in Flo. Username set? |
| Wrong tier or benefits in email | Which tier they joined. Update What's included on that tier for future joins |
| Logo looks stretched | Upload a square image in Email header logo |
| Want no email for one manual add | Turn off Send welcome email, add the member, turn back on if needed |
| Preview looks different from inbox | Rare client quirks — trust the Live preview for layout; test in Gmail or Apple Mail |
Flo sends membership welcome mail through Flo’s transactional email system. Delivery is usually quick; occasional delays can happen with any email provider.
