Timezone Settings

Your timezone tells Flo where you work. Every weekly hour, date override, and “is this day open?” calculation uses this zone — not where your fans live.

Fans always see bookable times in their own timezone on your public page. Flo converts between the two automatically, but only if your timezone is set correctly first.

Part of Availability

Timezone lives on Dashboard → Monetize → Bookings → Availability (right column, top card). See Availability overview for the full page.

Where to set it

WhatPath
Timezone cardDashboard → Monetize → BookingsAvailability tab → right column, card labeled Timezone
SaveSave changes (top right of the Availability page) — timezone saves together with weekly hours, buffer, and notice

Helper text under the dropdown:

Clients book in their own timezone — Flo converts automatically. Set yours correctly so your hours calculate right.

The whole Availability page subtitle also reminds you: All times are shown in your configured timezone.

The timezone control

PieceWhat it does
Live clockShows something like Currently 2:30 PM · GMT−5 — the current time in the zone you selected, so you can confirm it matches your wall clock
DropdownPick your work timezone from Flo’s supported list (see below)
Schedule previewThe mini week chart and summary on the right use the same zone label

Flo does not offer every world city in the dropdown — only the regions below. Pick the closest match to where you actually take calls (usually the city in the label).

Supported timezones in Flo

In the dropdownTypical use
Eastern Time — New YorkUS East Coast
Central Time — ChicagoUS Central
Mountain Time — DenverUS Mountain
Pacific Time — Los AngelesUS West Coast
Alaska TimeAlaska
Hawaii TimeHawaii
GMT — LondonUK / Ireland (winter GMT)
Central European — ParisMuch of continental Europe
Eastern European — HelsinkiFinland, Baltics, etc.
Gulf Standard — DubaiUAE / Gulf
India Standard — MumbaiIndia
Singapore TimeSingapore, Malaysia, Philippines (same offset)
Japan Standard — TokyoJapan
Australian Eastern — SydneyEastern Australia
New Zealand — AucklandNew Zealand

The GMT± hint beside the live clock is a quick reference. Flo still applies daylight saving for zones that use it — you do not need to change the dropdown when clocks spring forward or fall back.

Set this before going live

If you never save a timezone, Flo treats your schedule as UTC on the public booking page. That can shift your open hours and confuse both you and fans. See If you have not set a timezone yet below.

Your timezone vs your fan’s timezone

Think of two clocks:

Whose clockWhere it is used
Yours (creator)Weekly schedule, date overrides, which calendar date is “Tuesday,” Google Calendar busy blocking, Zoom/Google event times
Your fan’s (visitor)Time chips on your public booking page, the small timezone label on the time picker, fan confirmation emails, fan reminders, fan reschedule page

On your public booking page

  1. Fan picks a date (based on your weekly rules and overrides in your zone).
  2. Fan sees times like 2:00 PM in their browser timezone.
  3. A label on the time step shows their zone (for example America/Los Angeles with underscores shown as spaces).
  4. When they confirm, Flo stores that zone on the booking so emails and fan tools stay consistent.

You edit 9:00 AM – 5:00 PM in Eastern Time. A fan in Pacific Time might see morning slots that look like 6:00 AM their time — that is expected conversion, not a bug.

On your dashboard

ViewWhose time you usually see
Availability (weekly grid, overrides)Your saved timezone
Bookings → Appointments list & calendarYour browser / computer local time (where you are sitting right now)
Reminder emails to youYour saved timezone
New booking email to youOften the fan’s timezone in the time line (same wording fans receive, so you know what they booked)

If you travel often, trust Availability for setting hours, and remember the appointments list follows your laptop clock until you change zones.

What your timezone affects

FeatureWhy it matters
Weekly schedule“Monday 9:00 AM” means Monday morning for you, not for every fan
Date overridesOverride dates follow your calendar day (same timezone as above in the form)
Public bookable datesWhich weekdays appear in the next ~60 days
Open time slotsStart/end windows are built in your zone, then shown to fans in theirs
Google CalendarBusy times and new events use your zone for the correct local day
ZoomMeeting start time matches your configured zone
Session reminders (you)24-hour and 1-hour reminder emails use your timezone
Fan reschedule emails (you)Old and new times in your timezone

Your timezone is only managed on Bookings → Availability. Flo does not use a separate timezone field under Settings → Profile for bookings.

If you have not set a timezone yet

Flo checks whether you have saved a real timezone on your account.

On Dashboard → Bookings, you may see a purple banner:

Set your time zone in Availability. Until then, your booking slots are calculated as if you were in UTC, which can show the wrong times for you and for visitors.

ActionResult
Set time zoneOpens Availability
×Dismisses the banner for that browser session

The banner can appear even if the dropdown looks prefilled — until you Save changes, the live site may still use UTC.

Reminder in the page Builder

When you edit a Book a Session block, Flo may show a similar note: Set your time zone in Availability so the live page shows correct slots. Until then, the system assumes UTC. with Open Availability →.

What UTC fallback means in practice

SymptomLikely cause
Open hours feel shifted by several hoursTimezone never saved — public page used UTC
A fan books “Tuesday afternoon” but you expected WednesdayZone mismatch between you and how Flo interpreted the window
Google Calendar blocks the wrong local dayBusy-day boundaries used UTC until you set Availability

Fix: Open Availability, choose your real zone, confirm the live clock, click Save changes, then test your public page.

Daylight saving and travel

SituationWhat to do
DST begins or endsKeep the same dropdown entry (for example Eastern Time — New York). Flo moves with the clocks.
You move permanentlyChange the dropdown to your new home zone and Save changes. Review weekly hours if your workday shifted.
Short tripYou can leave Availability on your home zone; fans still book against those hours. Your dashboard appointment list follows your laptop’s local time while traveling.
You work across regionsPick the zone where most sessions happen, or use date overrides for weeks you are elsewhere

  1. Open Availability

    Dashboard → Monetize → Bookings → Availability.

  2. Set timezone first

Choose your zone and check the Currently … line against a clock on your phone.

  3. Set weekly hours

Build weekly schedule rows — all times are in this zone.

  4. Save changes

Click Save changes and wait for Availability saved.

  5. Test as a fan

Open your live page in a private window (or ask someone in another zone to test). Confirm dates and times look reasonable on both sides.

  6. Connect Google Calendar (optional)

After timezone is correct, connect Google Calendar so busy times align with the same local days.

Troubleshooting

ProblemWhat to check
Fans see no times on days you thought were openWeekly schedule off for that weekday, or timezone still UTC
Your 9 AM block shows as afternoon for you in emailNew booking notification may display the fan’s local time — compare with reminder emails or your calendar event
Override applied on wrong calendar dayOverrides use your Availability timezone — not the fan’s
Google blocks the wrong dayFix timezone first, then recheck Google Calendar
Dropdown does not list my cityChoose the nearest region with the same current offset (for example Singapore Time for Manila)
Banner will not go awaySelect a zone and Save changes — dismissing × only hides the reminder
