Date Overrides
Date overrides are exceptions to your normal weekly schedule. Use them for vacations, holidays, travel days, or a one-off evening session — without turning weekdays on or off globally.
| Override type | When to use it |
|---|---|
| Blocked (whole day) | You are fully unavailable that calendar day |
| Custom hours | That day is open, but with different start and end times than your usual weekday row |
Overrides always use your timezone calendar date — the same clock as your weekly hours.
Part of Availability
Dashboard → Monetize → Bookings → Availability → bottom of the Weekly schedule card. Overview: Availability.
Where to find it
Scroll to the bottom of the Weekly schedule panel on the Availability tab.
| What you see | Meaning |
|---|---|
| Date overrides (heading) | This section |
| Subtitle | Block a day or set custom hours for one-offs — same timezone as above (for example Eastern). Use Save changes to apply. |
| Upcoming overrides | List of saved future overrides, or None scheduled. |
Your timezone must be set on the same page so “Tuesday, March 10” means your Tuesday, not a fan’s.
Override types
Blocked (whole day)
Choose Type → Blocked (whole day).
| Effect | Detail |
|---|---|
| On your public page | That date does not appear as bookable |
| Time slots | None — even if that weekday is normally “on” in your weekly schedule |
| Times to pick | Hidden — you only pick the Date and optional Note |
Good for: vacation, conference, sick day, moving day, any day you want zero bookings.
Custom hours
Choose Type → Custom hours, then From and To.
| Effect | Detail |
|---|---|
| On your public page | That calendar date can appear as bookable |
| Hours for that day only | From / To replace your normal weekday window for that date |
| Weekly row | Unchanged — next week the same weekday follows your regular schedule again |
Good for: a Saturday pop-up clinic, a late evening on one Thursday, opening a normally closed weekday for a single date.
Time pickers match the weekly schedule: 30-minute steps from 6:00 AM through 10:00 PM. End must be after Start (Flo shows an error if not).
Custom hours on a normally closed weekday
If that weekday is off in your weekly schedule, a custom hours override can still make that one date bookable. Fans will see the date because of the override, not because you turned the whole weekday on.
Form fields
| Field | Required | What it does |
|---|---|---|
| Date | Yes | Calendar day for the override. Past dates cannot be picked. |
| Type | Yes | Blocked (whole day) or Custom hours |
| From / To | For custom hours only | Open window for that single date |
| Note (optional) | No | Private reminder for you (placeholder: Vacation, dentist…). Max 200 characters. Fans do not see this note on your booking page. |
One override per date
Flo stores one override per calendar day for your account. If you save again for the same date, the new type and hours replace the old entry — you are not stacking multiple rules on one day.
How to add an override
Open Availability
Dashboard → Monetize → Bookings → Availability.
Scroll to Date overrides
At the bottom of the Weekly schedule card.
Fill in the form
Pick Date, Type, and From / To if needed. Add a Note if it helps you remember why.
Save
Click Save changes at the top of the page. Flo saves your weekly schedule and any new override waiting in the form.
Confirm in the list
Under Upcoming overrides, you should see a line like Wed, Mar 12, 2026 · Blocked or · 2:00 PM – 6:00 PM with your note underneath if you added one.
If you leave without saving while the override form has a date or note typed in, Flo warns you about unsaved changes — same as editing weekly hours.
Error messages you might see
| Message | Meaning |
|---|---|
| Pick a date first. | Choose a Date before saving. |
| Choose today or a future date. / Overrides must be today or a future date… | Past days are not allowed. |
| End time must be after start time. | Fix From and To on a custom hours override. |
| Could not save that date. Try again. | Temporary failure — try Save changes again. |
Upcoming overrides list
Saved overrides appear under Upcoming overrides, sorted by date.
| List line shows | Example |
|---|---|
| Date | Wed, Dec 24, 2026 |
| Type | · Blocked or · 2:00 PM – 6:00 PM |
| Your note | Second line in smaller text, if you entered one |
| Action | What happens |
|---|---|
| Trash (remove icon) | Deletes that override right away. Your public page updates without needing Save changes again. |
| None scheduled | No future overrides saved yet |
Only today and future dates appear in the list. Past overrides drop off automatically — you do not need to clean them up.
How overrides interact with everything else
Flo still applies your other Availability rules on override days (unless the day is fully blocked):
| Setting | On a blocked day | On a custom hours day |
|---|---|---|
| Weekly schedule | Ignored for that date | Replaced by From / To for that date only |
| Buffer | — | Yes — spacing between slots still applies |
| Minimum notice | — | Yes — soon slots still hidden |
| Google Calendar busy | — | Busy events can still remove conflicting times |
| Session duration (from offer) | — | Slots must fit inside your custom window |
Fans still see times in their timezone on your page. You still edit overrides in yours.
Common scenarios
| Situation | What to do |
|---|---|
| Week off | Add Blocked for each day, or turn off those weekdays in weekly schedule if it is the same every week |
| One holiday | Single Blocked override on that date |
| Extra Saturday session | Custom hours on that Saturday (weekly Saturday can stay off) |
| Shorter day before travel | Custom hours with an earlier To time |
| Conference with one open evening | Custom hours on that date only |
| Mistyped override | Remove the row, or save a new override for the same date to replace it |
Blocked vs turning a weekday off
| Approach | Best for |
|---|---|
| Blocked override on specific dates | Exceptions: holidays, vacation days, one-off closures |
| Turn weekday off in weekly schedule | You never take bookings that weekday (every week) |
Example: You normally work Mondays. You are closed Monday, Dec 29 only → use Blocked on Dec 29, leave Monday on in your weekly grid.
Troubleshooting
| Problem | What to check |
|---|---|
| Date still bookable after I blocked it | Save changes was clicked; refresh your public page; confirm the date under Upcoming overrides shows · Blocked |
| Custom hours day not showing | Date is today or future; override saved; session duration fits inside From–To; minimum notice may hide soon slots |
| Wrong calendar day blocked | Timezone on Availability — override dates follow your zone |
| Cannot pick yesterday | By design — only today and future dates |
| Changed mind on one day | Trash the override, or save a new one for the same date to replace it |
| Override gone from list | Past dates are not shown; add a new override if you still need a future exception |
