BookingsAvailability

Availability Overview

Availability is when you are open for Book a Session bookings. It controls which dates and times fans see on your Flo page — separate from creating a booking offer (session length and price).

Get this right before you publish a booking block. Wrong timezone or hours are the most common reason fans see “no times available.”

Creator plan required

Bookings require Creator+

Book a Session needs Creator, Pro, or Studio. See Bookings overview.

Where to set availability

WhatPath
Main editorDashboard → Monetize → BookingsAvailability tab
Old linkSettings → Availability still works — it opens the same Availability tab

Page title: Availability. Subtitle: Set when you're open for bookings. All times are shown in your configured timezone.

Use Save changes (top right) when you edit the weekly schedule, timezone, buffer, or minimum notice. Flo warns you if you leave with unsaved edits.

Date overrides (vacation days, special hours) save with the same button when you have a new override ready, or you can remove saved overrides immediately from the list.

What you control on this page

Flo combines four layers to decide what fans can book:

LayerWhat it does
Weekly scheduleRecurring open hours per weekday (for example Monday 9:00 AM – 5:00 PM)
TimezoneYour home timezone — all weekly hours and overrides are interpreted in this zone
Buffer between sessionsEmpty gap Flo keeps after each session so you are not back-to-back
Minimum booking noticeHow far in advance someone must book (no “book in 10 minutes” if notice is 24 hours)
Date overridesOne-off changes: block a whole day or use different hours for a single date

Confirmed Flo bookings and (when connected) busy times on Google Calendar also remove slots that would overlap. See Google Calendar.

Weekly schedule

The Weekly schedule card is the large panel on the left.

ControlWhat it does
Day toggleTurn a weekday on or off. Off days never show as bookable (unless a custom hours override exists for that calendar date).
Start / EndOpen window for that day. Times are in 30-minute steps from 6:00 AM through 10:00 PM (your configured timezone).
Copy Mon to all weekdaysCopies Monday’s start, end, and “on” state to Tuesday–Friday in one click

Fans only get time slots that fit inside your open window and the session duration on the booking offer (for example a 90-minute session needs a 90-minute gap inside your hours).

More detail: Weekly schedule.

Timezone, buffer, and notice (right column)

Three cards on the right side:

Timezone

Pick the zone where you actually work. Flo shows a live clock line (for example Currently 2:30 PM · EST) so you can sanity-check the choice.

Fans book in their own timezone on your page — Flo converts times for them. Your timezone must be correct or your “9 AM Tuesday” might land on the wrong day for you.

More detail: Timezone.

Buffer between sessions

Choices: No buffer, 10, 15, 30, 45, or 60 minutes (shown as 1 hour at 60).

Flo blocks that gap after each session when calculating open slots — including spacing between candidate times, not only after confirmed bookings.

Default for new accounts: 15 minutes.

Each booking offer can also set its own Buffer time (Overrides your default buffer for this offer in the offer editor). Use the same value as your default unless you intentionally want a longer break for one session type.

More detail: Buffer and minimum notice.

Minimum booking notice

Choices: 1, 2, 4, 8, 12, 24, 48, or 72 hours.

Fans cannot pick a slot that starts sooner than this many hours from “now.”

Default for new accounts: 24 hours.

More detail: Buffer and minimum notice.

Schedule preview

Below the three cards, Schedule preview summarizes your setup:

  • Which weekdays are active and your typical window
  • Total open hours per week
  • A small week grid with your timezone label
  • Reminders for buffer and notice settings

Use it to double-check everything before you go live.

Date overrides

At the bottom of the Weekly schedule card, Date overrides handle exceptions:

TypeLabel in FloEffect
BlockedBlocked (whole day)That calendar date has no bookable slots
Custom hoursCustom hoursReplaces your normal weekday hours for that date only

For each override you pick a Date, optional Note (label), and save with Save changes. Past dates cannot be added. Saved overrides appear in a list with Remove.

Overrides use your creator timezone calendar date (same as weekly hours).

More detail: Date overrides.

What fans see on your page

When someone opens Book a Session:

  1. Dates — Flo looks up to 60 days ahead for days that match your weekly schedule and overrides, then shows up to 21 bookable dates in the date picker (starting from tomorrow, not today).
  2. Times — For the day they pick, Flo lists slots that fit your hours, session length, buffer, and minimum notice.
  3. Their timezone — Times display in the fan’s local zone; you still manage everything in your timezone on this page.
  4. Conflicts — Existing Flo sessions and Google Calendar busy blocks (when connected) hide conflicting times. Google busy data may be cached for a few minutes while browsing dates; Flo re-checks more closely when someone actually books.

If every day looks empty, walk through Troubleshooting below.

How this fits with offers and integrations

Availability does not replace connecting calendar or video tools — it only defines when booking is allowed.

  1. Open Availability

    Dashboard → Monetize → Bookings → Availability.

  2. Set timezone

Choose the zone where you live and work. Confirm the live clock looks right.

  3. Build weekly hours

Turn on each working day and set start/end. Use Copy Mon to all weekdays if your Monday–Friday hours match.

  4. Set buffer and notice

Pick a realistic break between calls and how much advance notice you need (many creators use 15 minutes buffer and 24 hours notice).

  5. Add date overrides if needed

Block holidays or add a long Saturday window without changing your normal week.

  6. Save changes

Click Save changes and wait for the success message.

  7. Create offers and publish

Continue with Bookings setup, then Publish your page.

Troubleshooting

ProblemThings to check
No dates at allAt least one weekday is on in the weekly schedule, or add a custom hours override for specific dates
No times on a daySession duration longer than your open window; day is off in weekly schedule; blocked override; minimum notice hides soon slots
Times look wrong for youTimezone on this page — fans always see local time, but your hours are stored in your zone
Slot still shows but you are busyConnect Google Calendar so outside events block slots; allow a few minutes for Google busy times to refresh in the picker
Can’t book “today”The public date list starts from tomorrow; very short notice settings still cannot show slots inside your minimum notice window
Changes not on live pageClick Save changes; Publish or Update live the page after editing availability
